The outcome

A private, reviewed checklist for one match day. This is an organization worksheet, not a live calendar integration, travel planner or automated team-notification service. It adds no training or medical advice.

What you need

  • The latest team instructions from an authorized coach or manager.
  • The confirmed fixture reference, arrival instruction and venue/field details.
  • The team’s required kit and equipment list.
  • A coach, manager or parent/guardian to help confirm missing details where appropriate.

1. Confirm which instructions are current

Check the match or fixture reference and when the instructions were last updated. If a calendar entry and a team message disagree, ask the authorized team contact which is current. Do not assume the newest-looking screenshot is the official answer.

2. Keep arrival and kickoff separate

Write the supplied arrival instruction and kickoff time in different fields, including the stated time zone when relevant. Do not calculate an arrival time from kickoff unless the team has explicitly given that rule. Keep unresolved timing or venue questions marked “confirm with staff.”

3. Use the team’s kit list—not an invented shopping list

Check which uniform and equipment the team actually requires and whether any instruction changed for this match. Use the existing approved list; an assistant should not add purchases, supplements or training work. If a detail is not supplied, ask rather than inventing it.

FICTIONAL PRIVATE-CHECKLIST EXAMPLE
Fixture: DEMO-MATCH-01
Kickoff: confirmed in the private team instructions
Arrival: not supplied → ask the manager
Field: confirmed reference, kept in the private copy
Kit: use the team’s approved list
Latest-update check: parent/player confirms with team source

No real child, venue, contact details or timetable are included here.

4. Give each item a simple status

Use “confirmed,” “to check” or “ready” so unfinished details remain visible. Note who can answer a question without placing their contact information in an AI prompt. Keep the detailed location and schedule in the family’s or team’s approved private system.

5. Use AI only to format sanitized instructions

An approved assistant can organize a text checklist and a list of questions. You can substitute placeholders such as “kickoff confirmed privately” instead of sharing an exact timetable or location. The assistant must not guess times, identify players, access accounts or message anyone.

6. Review before leaving—and check for updates

Review the checklist with the appropriate adult or team staff member. Recheck the authorized team source before relying on an earlier copy, especially after a change notice. A downloaded checklist is not a live schedule and cannot promise that nothing has changed.

Review checkpoint: use confirmed team instructions, distinguish arrival from kickoff, and keep missing details visible. This worksheet does not determine transport, supervise players or replace staff/guardian instructions.

Privacy checkpoint

Do not share child names, school details, contacts, transport arrangements, exact locations/timetables, gate codes or private links with an unapproved assistant. Use placeholders for AI formatting and keep the completed private checklist accessible only to the intended people.

Reusable resource
