The outcome

A week-by-week shortlist of approved session options, with a reason for each match and visible gaps. This is a practical planning worksheet with optional AI assistance. The integrated periodization planner remains planned/development work; this guide does not imply it is available as a hosted feature.

What you need

  • The coach’s existing week references and learning themes, with team level and context.
  • A permitted set of coach-approved session descriptions and stable drill references.
  • Confirmed session minutes, player numbers, space and equipment constraints.
  • The coach’s own suitability criteria and a reviewer for final choices.

1. Keep the coach’s plan as the source

Copy the supplied week labels, objectives and constraints into the worksheet with a version date. Do not let AI invent a seasonal sequence or change training frequency, intensity or recovery. A missing theme remains a coach question, not a blank for automatic completion.

2. Summarize the available sessions

For each approved drill reference, record its stated objective, level, numbers, space, equipment and duration. Keep source facts distinct from unknowns. Do not assume that an attractive diagram proves a drill fits the team or that private material may be shared across clubs.

3. Match evidence, not just keywords

Shortlist options whose stated learning purpose and supplied constraints match the week’s brief. Show the supporting drill reference and reason. If a session requires more space or different numbers, mark it as needing coach adaptation; do not silently rewrite it or call it ready.

4. Show gaps and conflicts

Separate ready-for-coach-review options, adaptation proposals and unmatched themes. Do not fabricate a drill reference to fill a gap. If duration or suitability is unknown, ask the coach rather than assuming the session will fit. This is a shortlist, not a complete session schedule.

5. Record the coach’s decision

The coach checks the actual session, confirms suitability and selects or rejects the proposal. Record the selected version and unresolved questions. Recheck when the team context or constraints change. Saving to a club library, changing a season plan or sending sessions is a separate authorized action.

Fictional example

For DEMO-W3 the coach supplies “supporting angles” and a 20 × 20-yard area. Approved DEMO-D1 states that objective but specifies 30 × 40 yards; flag adaptation needed, not ready. DEMO-D2 matches the objective and supplied constraints, so shortlist it for coach review. Neither is selected until the coach confirms.

Privacy checkpoint

Use anonymous team labels and only session material you may process. Keep children’s identities, individual evaluations, medical information and private club documents out of unapproved AI tools. Do not copy sessions between coach, club or master collections without the appropriate permission.

Reusable resource

Download the weekly theme map and optional AI prompt. It includes an approved-session inventory, match evidence, gap log and coach decision record.
