The outcome

A reviewed notice draft and release checklist for an authorized sender. This guide is not a live messaging integration and sends no emails, texts or notifications.

What you need

  • The organizer, event and affected registration or game references.
  • Confirmed facts from the designated event authority, including an “as of” time and time zone when relevant.
  • An authorized recipient list and approved communication channel.
  • The person who approves release and the process for recording the actual sending result.

1. Define one purpose and its scope

State what the notice is for and who needs to act. A field change, a document reminder and a general event update need different details and audiences. Do not send a broad announcement when only a specific manager group is affected.

2. Confirm the facts before drafting

Record the official source, check time, old value, new value and any effective date or time zone. Mark unconfirmed details as held for review. A draft must not invent kickoff changes, refunds, deadlines or policy exceptions to make the message sound complete.

SYNTHETIC DRAFT — NOT AN ACTUAL EVENT NOTICE
Event: DEMO-EVENT
Affected fixture: DEMO-GAME-204
Confirmed change: field DEMO-A → field DEMO-B
Kickoff: unchanged according to the supplied official source
Effective date/time zone: [confirm before release]
Manager action: [authorized event staff to confirm]
Source reference: [approved public event reference]
Status: DRAFT — NOT APPROVED OR SENT

3. Make the change and required action easy to find

Use a clear subject, identify the affected event or fixture, and separate what changed from what did not. State the action, deadline and contact route only when they are confirmed. Keep unresolved questions in the review notes, not disguised as facts in the message.

4. Verify recipients from the authorized event list

Confirm the current manager or staff recipients and the correct event scope. Similar team names or an old email thread are not enough to establish routing. Keep the address list out of AI prompts and public examples; use the organization’s approved sending process to avoid exposing recipients.

5. Review wording and approve release

Have an authorized person compare the draft with the source facts and recipient scope. Check dates, time zones, links and whether the notice contradicts an earlier version. If another language is needed, have the critical details reviewed by an appropriate human reviewer rather than assuming a translation is verified.

6. Record what actually happened

Keep separate states for draft, approved, sent and delivery confirmed. A prepared message is not a sent message, and a successful send response does not prove everyone read it. If the outcome is uncertain, check the approved system’s records before retrying so the same notice is not sent twice. This guide performs none of those actions.

Review checkpoint: only the authorized event authority supplies official decisions. A clear AI-written notice is not approval, a recipient list is not permission to send, and delivery is not the same as acknowledgment.

Optional AI assistance

Use an approved assistant with a sanitized fact sheet to draft concise wording and a list of missing details. Require exact preservation of confirmed facts and leave unknowns for the reviewer. Do not give it mailbox access or ask it to choose recipients or release the notice.

Privacy checkpoint

Exclude player details, card images, contact lists, private threads and authenticated links from AI input. Share only the minimum event information needed in an approved tool. All examples and downloads here are fictional.

Reusable resource

Download the notice fact sheet, draft template and release-review prompt. Keep it marked draft until the authorized reviewer approves the final version.
