The outcome

A staff-approved program fact sheet and matching draft copy for a landing page, FAQ and short announcement. This is a practical assisted writing workflow, not an automatic launch integration. Keep registration setup and official program records in your existing tools.

What you need

  • The program owner’s approved details for the exact program and season or cycle.
  • Confirmed dates, times, time zone, venue and participation wording, where supplied.
  • An approved registration destination and its confirmed open, scheduled or closed status.
  • A publishing owner, audience and staff process for resolving unknowns.

1. Create the master fact sheet

Give each fact a source reference, version date and approving owner. Distinguish event dates from registration deadlines and arrival times from session start times. Missing fees, criteria or dates remain questions for the program owner; do not copy them from a prior season.

2. Resolve contradictions before drafting

If a planning note and registration page disagree, record both sources and hold the disputed claim for staff. An available link does not prove registration is open. Have the owner confirm the intended destination and status without submitting a form or creating a test customer record.

3. Draft channel copy from approved facts

Use the same fact sheet for the landing-page introduction, concise FAQ and announcement. Ask AI to keep source references beside draft claims for review. Do not invent capacity, selection guarantees, deadlines, testimonials or urgency. Any unresolved fact should be excluded from release copy or explicitly held in the private draft.

4. Check every call to action

Compare the displayed program name, cycle, instructions and link with the approved destination. Do not say “register now” for a process confirmed only as opening later. Check that FAQ answers and short announcements do not contradict the longer page or imply a supplied RSVP is completed registration.

5. Approve and record the release version

The program owner checks all draft claims and the publishing owner approves the destination and audience. Record a version for each channel and what needs rechecking after a change. Creating registration forms, sending announcements and publishing customer-facing copy are separate authorized actions; this worksheet does none of them.

Fictional example

For DEMO-P1, staff confirm a program cycle and venue but say registration is not yet open. A suitable draft line is “Registration details will be provided through the organizer’s confirmed channel.” Hold a competing draft that says “Register now—last spaces” because neither open registration nor remaining capacity is confirmed.

Privacy checkpoint

Use approved public program facts or synthetic examples in AI prompts. Exclude applicant data, children’s identities, private staff contacts, unpublished access links and credentials. Keep the internal approval log private; share only the approved public copy.

Reusable resource

Download the launch fact sheet, copy templates and optional AI prompt. It includes a claim ledger, channel checks and a synthetic draft.
