# Review referee coverage before the tournament
More time on the field. Less time in the office.

Audience: tournament directors
Status: practical review guide with optional AI assistance. Not a live assignment service.
Existing scheduling and referee systems remain the official records.

## Outcome and inputs
Outcome: fixture-by-fixture exceptions for the authorized assignor and director.
Inputs: stable match references, fixture version, dates/time zones/kickoff/end times, venues,
organizer-supplied required roles, assignment snapshot/status definitions and supplied constraints.
Use anonymous official references, not personal details.

## Review scope
- Event/divisions:
- Fixture version/date:
- Assignment snapshot/cutoff:
- Crew requirement source/version:
- Status definitions:
- Interval/time-zone source:
- Supplied travel/availability constraints:
- Authorized assignor and review owner:

## Coverage ledger
| Match ref | Required role/source | Assigned official ref | Source confirmation status | Gap/unknown | Owner |
|---|---|---|---|---|---|
| DEMO-M1 | One referee / SYNTHETIC-R1 | DEMO-O1 | Pending response | Not confirmed | Assignor |
| DEMO-M2 | Unknown | DEMO-O1 | Listed | Crew requirement unknown | Director |

## Five-step review
1. Freeze scope and versions. Match by stable reference, not row position or team name.
Isolate canceled/changed matches and assignments tied to older fixtures; do not delete them.
2. Compare supplied required roles with assignment rows. Preserve open, assigned and confirmed
as different states using source definitions. A named official is not proof of acceptance.
3. Check overlapping supplied match intervals for the same official. Preserve time zones.
Apply only supplied travel/availability constraints. Missing duration or constraints mean
cannot assess, not no conflict. Do not invent rest buffers or standard crew sizes.
4. Ask the assignor about any required suitability checks. Record authorized review status only;
do not infer certification or eligibility from names or prior assignments.
5. Log exceptions, let the authorized assignor decide/contact/reassign separately, then recheck
corrected source versions before marking coverage reviewed. This worksheet changes nothing.

## Timing and review exceptions
| Match refs | Official ref | Source evidence | Type: overlap / missing data / other | Assignor question | Resolved version |
|---|---|---|---|---|---|
| DEMO-M1, DEMO-M2 | DEMO-O1 | Synthetic overlapping intervals | Overlap | Review concurrent assignments | Pending |

## Synthetic exercise
DEMO-M1 requires one referee per supplied illustrative instructions; response is pending.
DEMO-M2 lists the same anonymous official during an overlapping confirmed match interval.
Flag pending acceptance and the overlap separately.
DEMO-M2's required crew is unknown, so its whole crew cannot be marked complete.
This is an example, not a rule about referee staffing for other events.

## Optional sanitized AI prompt
Using only these anonymous fixture, required-role and assignment snapshots, organize exceptions.
Preserve source/version references and source confirmation statuses.
Distinguish open roles, pending acceptance, overlapping supplied intervals and cannot-assess items.
Do not invent crew requirements, match durations, travel buffers, qualifications or eligibility.
Do not assign officials, contact anyone, change fixtures or certify complete coverage.
Return: match/role | evidence | exception or unknown | owner question | recheck needed.

## Signoff and privacy checkpoint
- Corrected snapshot/version:
- Assignor decisions recorded by:
- Outstanding gaps or unknowns:
- Director review status/date:
- Separate assignment/contact authorization:
Do not upload contact details, birth dates, credentials, safeguarding records or private
availability explanations. Keep the lookup in the authorized system and restrict report access.
A reviewed worksheet is not a guarantee of attendance, eligibility or full match readiness.
